Security measures whilst at the venue and using its facilities

What information is collected?

CCTV is in place at throughout the venue, including the bar and restaurant, function and games rooms, beer garden and terrace to monitor and maintain safety of all.

What is it used for?

We use CCTV footage to assist in monitoring and maintaining safety within our premises.

Where necessary this footage may also be shared with the authorities for law enforcement purposes.

Our reasons for collecting this information:

The legitimate interests of The Waterfront Inn to ensure the safety of guests and employees at the park, and to assist with law enforcement if required.

This footage may also be used to exercise and defend our legal rights.

Contact with a member of staff whilst staying at The Waterfront Inn

What information is collected?

If you are in touch with a member of staff during your stay to report an issue, fault or complaint the following information will be collected in the case of reporting a fault or problem then this information will be recorded in our daily maintenance book.

  1. Room Name
  2. Nature of enquiry.

This information is used to resolve the enquiry, or progress a complaint as appropriate.

This will be recorded in the relevant recording systems.  The information is also used in case there is a future complaint or claim.

How The Waterfront Inn Store your personal data

1) We transfer data that we collect from you to locations outside of the European Economic Area for processing and storing. In addition, it may be processed by staff operating outside the European Economic area that work for us or for one of our suppliers. For example, such staff may be engaged in the processing and concluding of your order, the processing of your payment details and the provision of support services. By submitting your personal data, you agree to this transfer, storing or processing. We will take all reasonable steps to make sure that your data is treated securely and in agreement with this privacy policy.

2) Data that is provided to us is stored on our secure servers. Details relating to any transactions entered into via our site will be encrypted to ensure its safety.

3) The transmission of information via the Internet is not completely secure and therefore we cannot guarantee the security of data sent to us electronically and the transmission of such data is entirely at your own risk. Where we have given you (or where you have chosen) a password so that you can access certain areas of our site, you are responsible for keeping this password confidential.

Targeting communications 

We use screening techniques to ensure that the communications and offers we send you are personalised, relevant and timely.  We do this because it allows us to understand your background and the background of our guests and enables us to improve your experience.  We also do this so that we can communicate with you in the way that suits you best and to help ensure that you only receive communications and offers that are likely to be of interest to you.

As part of our profiling activities, we will take into account factors such as geographic, demographic and other information relating to you so that we can better understand your interests and preferences. To do this we may use additional information from third party sources when it is available.

Marketing

So that you are the first to hear about our exciting new offers and facilities, we may send you information by post, email, SMS (unless you have asked us not to do so).  When you book your stay at The Waterfront Inn you have the option to opt out of our marketing communications.

If you have given us your consent to receive marketing communications by email, are customers of ours or you have previously asked us for information about our breaks or experiences, we may also send you this information by email. However, in every marketing email message we send you, we will give you the opportunity to unsubscribe from our mailings altogether.

We also use your personal information to tailor the marketing communications we send to you.  For example, we track your booking history with us in terms of the accommodation you choose in order to build a picture of the things you like and dislike.  This enables us to provide you with a more personalised service, and give you information about offers, which are more likely to be of interest to you.

We do not provide your personal information to external organisations for their own marketing purposes without your explicit consent.

If at any time you do not want your information used for direct marketing purposes or if you decide that you no longer wish to receive marketing emails from us, please either follow the unsubscribe link in one of our marketing email messages or contact us on 01237 473263. Please note that if you have a forthcoming booking we will send you service-related emails, even if you have unsubscribed from marketing communications, as this is important information you will require for your break.

How long do we keep your information?

We only hold your personal information for as long as is necessary to provide agreed services to you unless there is a requirement to hold that information for a longer period including for the purposes of satisfying and legal, accounting or reporting requirements.

Our booking system (RMS) will hold your personal data for 2 years live and then in cloud storage for a period of 7 years.

CCTV data will be held in line with our licensing conditions for up to a month.

Retention time

Personal Data shall be processed and stored for as long as required by the purpose they have been collected for.

Therefore:

Personal Data collected for purposes related to the performance of a contract between Braddicks Holiday Centre and the User shall be retained until such contract has been fully performed.

Once the retention period expires, Personal Data shall be deleted. Therefore, the right to access, the right to erasure, the right to rectification and the right to data portability cannot be enforced after the expiration of the retention period.

Data Security

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and keep secure the information we collect, including locked cabinets, data encryption and electronic password protection.

If you have been the victim of a fraudulent transaction please always contact the police and/or your bank in the first instance to ensure your own finances are secure.

The rights of Users

Users may exercise certain rights regarding their Data processed by the Owner.

In particular, Users have the right to do the following:

Withdraw their consent at any time. Users have the right to withdraw consent where they have previously given their consent to the processing of their Personal Data.

Object to the processing of their Data. Users have the right to object to the processing of their Data if the processing is carried out on a legal basis other than consent. Further details are provided in the dedicated section below.

Access their Data. Users have the right to learn if Data is being processed by the Owner, obtain disclosure regarding certain aspects of the processing and obtain a copy of the Data undergoing processing.

Verify and seek rectification. Users have the right to verify the accuracy of their Data and ask for it to be updated or corrected.

Restrict the processing of their Data. Users have the right, under certain circumstances, to restrict the processing of their Data. In this case, the Owner will not process their Data for any purpose other than storing it.

Have their Personal Data deleted or otherwise removed. Users have the right, under certain circumstances, to obtain the erasure of their Data from the Owner.

Receive their Data and have it transferred to another controller. Users have the right to receive their Data in a structured, commonly used and machine-readable format and, if technically feasible, to have it transmitted to another controller without any hindrance. This provision is applicable provided that the Data is processed by automated means and that the processing is based on the User’s consent, on a contract which the User is part of or on pre-contractual obligations thereof.

Lodge a complaint. Users have the right to bring a claim before their competent data protection authority.

Amending your information

If your details change, or if you think any information we have about you is wrong or incomplete, please inform us via email as soon as possible accommodation@waterfrontinn.co.uk . We will correct or update any information as soon as we can.

Who do we share this information with?

We may share your personal information with our suppliers, which covers companies from IT services, and third parties. They only use the information to provide their services to us (such as email marketing and website analytics). We only give them the information that they actually need. We always keep control of your data and our suppliers must act in accordance with our instructions.

Some of our suppliers are based in countries outside of Europe, including the United States and we require them to keep data secure in accordance with EU and UK Laws on Data Protection.

In some circumstances, we may have to disclose your personal information by law, because a court or the police or other law enforcement agency has requested it using the appropriate channels.

Disclosure of your information

1) Where applicable, we may disclose your personal information to any member of our group. This includes, where applicable, our subsidiaries, our holding company and its other subsidiaries.

2) We may also disclose your personal information to third parties.

3) Where we sell any or all of our business and/or our assets to a third party.

4) Where we are legally required to disclose your information.

5) To assist fraud protection and minimise credit risk.

RMS 9+ is the fully integrated cloud based Property Management System.

The following terms and conditions shall apply to customers/properties (“The Waterfront Inn”) that are processing online bookings through the RMS online module.

  1. RMS Online distributes the The Waterfront Inn accommodation rate, inventory and availability information supplied by The Waterfront Inn to online sales platforms chosen by The Waterfront Inn.
  2. RMS Online acts solely as an intermediary between The Waterfront Inn and the online sales platforms.
  3. RMS Online receives booking information from those online distribution platforms.
  4. Although RMS Online uses reasonable skill and care in performing its services it does not verify if, and cannot guarantee that, all information is accurate, complete or correct.
  5. Bookings received through RMS Online from guests are received on behalf of The Waterfront Inn.

RMS acts as the data processor regarding the services provided by our clients. The Waterfront Inn have the primary responsibility for the protection of your personal information.

The Waterfront Inn use the RMS booking engine including any online booking pages provided by RMS to collect and process personal information to provide their services. The Waterfront Inn also use the RMS channel management service to receive and process personal information collected by online travel agents and other booking services.

Therefore, RMS will process on behalf of The Waterfront Inn, personal information of their customers including but not limited to:

  • Your name;
  • Preferred contact details, including email, home address, telephone numbers
  • The names of anybody travelling with you;
  • Your payment information; and
  • Any other information which you decide for yourself to submit including special requests or preferences.

The Waterfront Inn collect and processes personal information from its customers for the performance of a contract, specifically to administer their online bookings from customers. If the required personal information is not provided, our clients cannot finalize the booking and ensure your stay with them is as enjoyable as possible. The Waterfront Inn may also use your personal information to provide customer service by informing the customer of any changes to the booking, latest deals and special offers and other products or services which they believe may be of interest to you. The Waterfront Inn may also use your personal information for the purpose of sending you a survey or for future marketing and sales activities. If you would like to find out the specific purposes that our client has collected your personal information, please refer to the privacy policy of The Waterfront Inn or contact us direct.

RMS also may from time to time have a need to access your personal information that has been collected and processed by The Waterfront Inn. This will only ever occur when we are providing customer support services to The Waterfront Inn and not for any other purpose.

The Waterfront Inn may hold your personal information for as long as is reasonably necessary for the performance of the booking and for such time thereafter as they have a legal basis. In regard to any booking you have made with The Waterfront Inn, you should consult the privacy policy of our client for the specifics of their data retention policy.

Does RMS share your data with third parties?

RMS itself does not disclose personal information for any purpose other than our employees, contractors or service providers needing to contact our clients, and then only to the extent reasonably necessary to fulfill our obligations to The Waterfront Inn, or to comply with government or other regulatory requirement.

In order to support the use of the RMS services, your details may be shared with members of the RMS corporate family which act as service providers for RMS, including in relation to customer support services.

RMS may disclose personal information to third parties to comply with any court order or other legal obligation or when data is requested by government or law enforcement authorities.

RMS may use service providers to process your personal data on our behalf. This processing is for several purposes, including sending out marketing material to the email address you provided when subscribing to RMS. Third party service providers shall either be bound by:

  • Our data privacy policy or have similar obligations in relation to the storage and processing of personal information, or
  • Confidentiality clauses and are not allowed to use your personal data for other purposes than instructed by RMS.

Customer Lists:

RMS does not disclose the personal information of The Waterfront Inn customers to any third parties.

RMS does not sell or rent personal information.

Third Party Integrations:

Different parties integrated into the RMS services in a number of ways and for various reasons. RMS acts as the data processor for The Waterfront Inn and any personal information disclosed by and through these integrations is done so at the direction of and is the responsibility of The Waterfront Inn.

International transfers of personal data

RMS may transfer your personal information to our group companies or service providers based outside of the European Economic Area (“EEA”) for the purposes described in this policy.  Personal information transferred outside the EEA will be subject to appropriate safeguards set out in the law including the use of model contract terms approved by regulators.

RMS may process and store data in the cloud using services from IBM Cloud, Microsoft Azure, and Amazon Web Services. You acknowledge that these cloud service providers may process and store personal information in a jurisdiction that may have different privacy and data security protections from those of your own jurisdiction.

RMS as the service provider and data processor has provided functionality to The Waterfront Inn to review customer personal information, restrict certain processing and to delete the personal information.  The use of that functionality is the responsibility of  The Waterfront Inn who is the controller of that data.

RMS is also able to provide The Waterfront Inn with functionality where you may view the personal information held about you and make corrections to your personal information yourself.

Where your personal information is processed by The Waterfront Inn on the basis of your consent, you may be entitled to withdraw that consent at any time subject to applicable law. Moreover, where The Waterfront Inn processes your personal data based on legitimate interest or the public interest, you may, subject to applicable law have the right to object at any time to that use of your personal data when no opt-out mechanism is available to you.

Security

RMS has implemented reasonable measures designed to secure personal information from accidental loss from unauthorized access, use, alteration and disclosure. RMS encrypts data in transmission and at rest, and all access to computer hardware containing personal information is password protected. Staff access to personal information is given on a need to know basis only.

The Waterfront Inn have access to their customers’ personal information. The Waterfront Inn are the data controllers for their data.  RMS is not responsible for the security standards of The Waterfront Inn. RMS services provide The Waterfront Inn with functionality to restrict access to data.

Internet Transmission

No data transmission over the Internet can be guaranteed to be secure. While RMS will endeavour to protect customer information, it cannot guarantee the security of any information any person may transmit when they access its website.

Even though RMS encrypts data transmitted over the Internet, it still cannot guarantee data transmitted cannot be unencrypted by persons with nefarious intentions. Nonetheless, the likelihood of this occurring is extremely low.

Remote Access

Remote access to The Waterfront Inn databases is needed to provide an efficient and rapid response to requests for assistance.

RMS staff will only connect to The Waterfront Inn data with the full knowledge of the The Waterfront Inn and will advise when connection is terminated.

Cookies

Cookies may be placed on your computer or internet-enabled device whenever you visit RMS online booking pages. This allows the site to remember your computer or device and serves a number of purposes. Although most browsers automatically accept cookies, you can choose whether or not to accept cookies via your browser’s settings (often found in your browser’s Tools or Preferences menu).

You may also delete cookies from your device at any time. However, please be aware that if you do not accept cookies, you may not be able to fully experience some of the features. Cookies by themselves do not tell us your email address or otherwise identify you personally.

Cookies are only used by online booking pages provided by RMS to improve the online booking process. By remembering the preferences of visitors to the online booking pages RMS streamline the reservation process.

Cookies are used for no other process and the information pertaining to them are not shared with any other person or entity.

RMS data centres are SSAE16 (SOC1) Certified, meeting industry-recognized requirements for security and reliability. The exhaustive, third-party certification assessment included extensive testing of the control objectives and activities at all RMS data centre facilities, including oversight by executive management, operations and customer service, development and information technology organization, human resources policies and procedures, and risk assessment monitoring.

Additionally, the centres are self-certified with the U.S. Department of Commerce’s U.S.-European Union (EU) Safe Harbor framework, verifying that RMS meets the EU’s adequacy standard for data and privacy protection. Self-certification and participation in the Safe Harbor framework is entirely voluntary.

The facilities are located in private N+1 data centres outside fault and liquefaction zones. The facility is designed and constructed to sustain a seismic event while maintaining business functions and boasts low latency through superior connections to robust fibre optic loops, 55mW of existing electrical capacity, 45 on-site generators with .5-million gallons of on-site fuel storage, and a carrier vault system supported by more than 50 miles of embedded, secure conduits.
